Ministry Systems Coordinator

Location: Santa Monica
Payroll Status: 40 hours/week (FLSA Non-Exempt, hourly)
Work week: Sun-Thurs

The Ministry Systems Coordinator will work with and under the supervision of the Ministry Systems Director. Together they will develop and manage the processes, database & IT systems related to effective ministry functions, serving as ongoing central support for all Vintage locations. The scope of the role will include participating in the execution of large and small scale event operations including but not limited to Sunday services, Alpha, and Vintage School of Discipleship.  


The workweek for this role is Sunday - Thursday, and evening hours are required, as scheduled.

Key Responsibilities

SYSTEMS

  • Serve as traffic manager for centralized support requests using project management software, Asana, under the direction of the Ministry Systems Director

  • Work alongside the Ministry Systems Director to oversee the maintenance and health of all data in our central database, Planning Center Online

  • Serve ministries as first-level IT support for centralized technology systems (Google Workspace, Slack, Asana, Planning Center Online, Apple OS), SAAS licensing & hardware including but not limited to Apple laptops, iPads, phones and printers

  • Track and report statistics for events and ministries to be used for budgeting and ministry development projections

  • Operational support for the planning & execution of FOCUS (annual all church retreat) related to housing, transportation, registration, check-in, and volunteer management 


EVENTS INCLUDING SUNDAY SERVICES

  • Make purchases for Centralized Ordering (supplies ordered and maintained centrally for use by all ministries) and managing chargebacks to each ministry by month or event

  • Setup and configure event technology, including updating central event calendar, configuring registration, day of check-in and any additional equipment per event need

  • Serve as Event Coordinator for small scale ministry events at any Vintage location, as directed This may include technical support only, or it may include broader responsibilities

  • Oversee technology support for Sunday Connection Experience, VKids & VYouth

  • Assist in planning for Sunday capacity needs including overflow seating, set up, maintenance & support

  • Lead the Sunday parking team and manage day-of vendor relations with off-site lots

  • Serve as a part of the offering count team

Necessary Skills / Experience

  • Ability to stay organized, prioritize, and manage multiple tasks at the same time

  • Above average IT knowledge base with the ability to effectively troubleshoot

  • Proficient in Apple OS and Google Workspace (Gmail, Calendar, Sheets, Docs, & Drive) 

  • Ability to use programs like Microsoft Excel or Google Sheets to organize, analyze, and manipulate data including applying formulas to calculate results, and formatting the presentation of information to best serve the end user

  • Ability to become proficient with Planning Center Online, Asana, Slack and other web-based services

  • Excellent administrative skills including crafting professional emails, scheduling, and budgeting

  • Experience working as a volunteer or staff in a mid-to-large size church is a plus

  • Performing physical activities that require considerable use of your arms and legs and moving your whole body, such as climbing, bending, lifting, balancing, walking, stooping, kneeling, crouching, crawling, and handling of materials.

  • Using hands and arms in handling, installing, positioning, and moving materials, and manipulating things

  • Ability to lift/carry, up to approximately 30 pounds frequently, and occasional lifting/carrying of equipment weighing up to approximately 50 pounds may be required

  • Physical mobility and endurance to perform tasks while standing/walking for long periods of time (60 minutes or more)

  • Visual abilities required include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus

  • Auditory capability to hear well, meaning the ability to discern speech and other sounds. 

Additional Requirements

The work schedule may include weekend and evening hours. In addition to the responsibilities listed above, all staff are required to work certain church functions such as Alpha Launch Nights and the FOCUS Retreat, and the religious holidays of Good Friday, Easter Sunday, and Christmas Eve. These special events may include additional hours for setup and teardown. Additional details are outlined in the Employee Handbook.

Pay Range

$50k to $55k annually
