Facilities Manager

Location: Santa Monica

Line Manager: Executive Director / Operations Director

Payroll Status: Full Time, 40+ hours week

Work Week: Sun-Thurs

Pay Range: $60k- $70k annually

Primary Purpose of Position

The Facilities Manager will be responsible for the capable and efficient management of all of the systems and processes which comprise the physical plant of the church as well as facilities team members. The overall plan includes the Sanctuary, Courtyard, and Family Ministries Building at 1015 California Avenue, the Ministry Center at 1019 California Avenue, the two on-site parking lots, and the 4-plex Apartment Building on 10th Street, adjacent to the church.

The scope of the role includes room preparation for all events, general maintenance, upgrades, renovations, cleaning team, security systems, housekeeping, landscaping, and associated services.

The Facility Manager will be able to troubleshoot and repair first-level system issues related to HVAC, electrical, plumbing, and other mechanical repairs, and competently interact with vendors as necessary for higher level repairs and maintenance. The Facility Manager will act as the church representative with outside contractors and inspectors coming onto the property or into the building.

The Facilities Manager is responsible to ensure that all of the above facilities are fully operational, safe, clean and neat, and prepared for all worship services and ministry activities.

Key Responsibilities

  • Manage and perform all work related to the maintenance and repair of facilities (including but not limited to building inspections, HVAC, plumbing, electrical, custodial, landscape and waste management).

  • Ensure all church facilities and grounds are well maintained and ready for Sunday services and mid-week events.

  • Manage the contracted janitorial service provider, ensuring all work is completed and the facilities are properly cleaned and restroom supplies are replenished, according to the scope of the contract. Additionally perform janitorial duties as necessary.

  • Responsible for purchasing and maintaining supplies and equipment on an on-going basis.

  • Serve as primary contact for facility related emergencies, including security and alarm system, which may require evening and weekend work.

  • Maintain the list of building keys assigned to staff and others. Assign keys to new staff; receive keys from retiring staff.

  • Train new staff on proper use of the alarm system, and assign codes for building access.

  • Oversee and provide event set-up and take-down coordination. Ensure proper scheduling of set-up and take-down for meetings, special events, worship services, and otherwise as directed.

  • Work with appropriate government agencies to ensure that buildings are safe and meet current code requirements; Must be familiar with and ensure compliance of OSHA regulations and standards, and proper handling of hazardous materials.

  • Implement, monitor, and follow policies and procedures designed to improve operations, minimize operating costs, and provide efficient use of labor and materials.

  • Maintain expenditures related to the building, facilities, and grounds repairs and maintenance in accordance with the approved Facilities budget.

  • Coordinate all vendor contract negotiation and execution with the Director of Finance.

  • Responsible for the timely submission of invoices to Accounts Payable, along with W-9 forms for new vendors.

  • Report problems, solutions and costs associated with projects not approved in the budget, and provide input to development of the annual budget.

  • Oversee Capital Expenditures projects, outside of the Facilities budget, as directed.

  • Schedule and coordinate work with outside contractors, as necessary.

  • Manage, schedule and coordinate efforts of the Facilities Team including part-time staff roles, interns, and facilities volunteers.

  • Manage the maintenance and improvement of the 4-plex apartment complex on site.

  • Manage vendors and vendor contracts for custodial, janitorial supplies, etc.

  • Step in as scheduled or requested for security and facility oversight during events.

As a staff member of Vintage Church, the overarching purpose of your role is to serve the mission of the church. As such, you may be assigned tasks and responsibilities from time to time which are outside of the scope of this job description.

Qualifications / Experience

This position requires someone who will love and care for the Vintage properties as though they are their own home and ensure each job/project is executed to the highest standard. You need to have a can-do attitude and the ability to prioritize and juggle multiple projects at once.

  • Knowledge of the practices, methods, and equipment utilized in facility maintenance, construction, and repair activities; including skills and abilities related to plumbing, janitorial, electrical systems, painting, carpentry, construction and heating and air conditioning systems

  • Knowledge of security practices and protocol related to facility management

  • Knowledge of safety practices and applicable regulations

  • Proven ability in identifying and fixing problems as soon as they arise, without being told (a self-starter)

  • Strong analytical and problem-solving skills

  • Attention to detail while seeing all projects through to completion

  • Ability to communicate well, both verbally and in written form

  • Proficient level computer skills (Mac, Google Workspace)

  • Ability to become proficient with Vintage specific Apps: Planning Center, Asana, Slack, Pex, etc.

  • Experience managing, scheduling and mentoring a team

  • Knowledge of the approaches and techniques involved in budgeting, labor relations, contract management, project management, record keeping, etc.

  • Ability to coordinate multiple tasks at once, adjust to changing priorities, meet deadlines within a fast-paced environment

  • Discretion, maintaining confidentiality at all times

  • Sound judgment in decision making

  • A team player mentality with a strong work ethic and a strong desire to serve

  • Professional decorum

  • Ability to lift/carry, up to approximately 50 pounds frequently, and occasional lifting/carrying of equipment weighing up to approximately 75 pounds may be required

  • Physical mobility and endurance to perform tasks while standing/walking for long periods of time (60 minutes or more)

  • Visual abilities required include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus

Additional Requirements

The work schedule may include weekend and evening hours. In addition to the responsibilities listed above, all staff are required to work certain church functions such as Alpha Launch Nights and the FOCUS Retreat, Good Friday, the Saturday before Easter, Easter Sunday, and Christmas Eve. These special events may include additional hours for setup and teardown. Additional details are outlined in the Employee Handbook.
